This article explains what the license overuse or rotation notice is, how it is reflected in the Assigned users indicator on the Dashboard, and how it is removed.
What the license overuse notice is
SMARTFENSE periodically reviews the license usage of each instance. If it detects that the number of reached users exceeds the contracted licenses, or that user rotation exceeds the allowed limits, the platform shows a notice to the instance administrators.
The notice can indicate:
- License overuse: more users than contracted were reached.
- License rotation: user rotation exceeds the limits associated with the natural turnover of employees.
- Both.
The notice is based on the users reached by at least one campaign in the reviewed period, even if they are currently deactivated. For this reason, it may appear even if the current number of active users is within the contracted quota.
You can find the license usage conditions in the following article: SMARTFENSE Licensing.
How it is reflected in the Assigned users indicator
The Assigned users indicator on the Dashboard shows the percentage of active users with at least one assigned campaign.
While the instance has an overuse notice, a rotation notice or both:
- The Assigned users indicator is shown in red.
- The message Exceeds the contracted licenses appears below the value.
- The recommended action Only X% of users have assigned campaigns is no longer shown.
When the notice is removed, the indicator returns to its usual behavior.
The Assigned users indicator only appears in instances that have contracted the Risk Scoring component.
Why the notice and the indicator show different numbers
The notice and the indicator measure different things:
- License overuse notice: counts the users reached in the reviewed period, including those currently deactivated.
- Assigned users indicator: counts only active users.
The red color of the indicator depends on the notice being active, not on comparing both numbers. For this reason, the indicator may be shown in red even if the percentage of assigned users is high.
How the notice is removed
The notice cannot be removed from the platform. It is removed automatically when a later review verifies that license usage is within the contracted terms.
If you regularize the situation, for example by expanding the contracted licenses, the notice may remain visible until the next review.
For questions about the notice or to expand your licenses, contact your partner or your SMARTFENSE sales representative.
💡 Best practices
- Check License information periodically to monitor the users reached per month and anticipate expansions.
- Plan campaigns taking into account the number of users each one will reach within the same period.
- Avoid user rotation beyond the natural staff changes of the organization.
- If a notice is active, coordinate the regularization with your partner or sales representative before launching new campaigns.
