This article explains what SMARTFENSE administrative reports are, how to enable them, and how to choose which users receive them and what information they include.
What are administrative reports?
Administrative reports consist of emails that the SMARTFENSE platform sends to administrator users with useful data for the management of their training awareness program.
They allow you to follow up on campaigns without having to log in to the Management Portal to check the status of each one.
Where to configure it
- Log in to the SMARTFENSE Management Portal.
- Go to Settings > Reports > Administrative Reports.
How to enable the sending
- In Administrative report Settings, select the Send administrative reports option.
- In the Users who will receive the reports field, indicate the recipients. The list allows you to select users with administrative permissions.
- In Reports to receive, check the types of report you want to send.
- Click Save.
To disable the sending, select the Do not send administrative reports option and click Save.
Only users with administrative permissions can be selected as recipients. End users do not receive this type of report.
Available report types
Report on completed campaigns
Sends an email each time a campaign ends, indicating its final data and statistics.
Report on campaigns with sending error
Sends an email for each campaign that has email sending failures. This allows the administrative user to take actions accordingly, such as executing an email resending or reviewing the connection details of the configured email server.
Daily report on campaigns in progress
Sends daily an email for each campaign in progress that the platform has, indicating their data and partial statistics.
The Daily report on campaigns in progress generates one email per active campaign. If the organization runs many simultaneous campaigns, consider the volume of emails recipients will receive.
💡 Best practices
- Enable the Report on campaigns with sending error in all instances, since it allows you to detect email server issues in time before they affect campaign results.
- Assign at least two recipients to prevent notices from being missed during absences or changes of responsibility.
- Review the recipient list whenever an administrator leaves the organization or changes role.
- Enable the Daily report on campaigns in progress only if you need daily follow-up, to avoid flooding administrators' mailboxes.
- Verify that the email server is correctly configured before enabling the reports, since their sending depends on that configuration.
