This article explains how the Onboarding section of SMARTFENSE works. It is an implementation guide built into the platform that lets you configure the main features in an orderly way and that also includes a built-in alerts system.
What is the Onboarding?
It is a guide that will accompany you throughout the implementation of your instance. Access the Onboarding from the SMARTFENSE side menu.
The Onboarding is organized into sections and, within each one, into individual steps. Each step takes you directly to the corresponding configuration screen and, once you save the changes, it returns to the Onboarding reflecting your progress.
Each configuration is saved separately. This lets you complete the configurations across different sessions. Although a sequential order is suggested, each configuration can be completed in the order you prefer.

The progress bar lets you see how far along you are with the configurations:
- Percentage of progress
- Completed steps
- Time remaining to complete the Onboarding
Timeline
It shows a timeline with all the sections available according to the plan you have contracted. The icon of each section changes color as you advance through the configurations.
Status of each section
| Status | Color | What it means |

| Pending | Gray | Section that has not yet been configured or confirmed. |
| In progress | Yellow | Section that has more than one configuration and not all of them have been completed. It may not be necessary to configure all of them. |
| Completed | Green | Section that has been fully configured or confirmed as completed. |
| Alert | Red | Configuration that stopped working and requires attention. Example: a secret key of an integration that has expired. |
Available buttons
During the Onboarding, each section and each configuration step will present different buttons:

| Confirmar configuración actual | Marks the step as completed by accepting the current configuration, without needing to make changes. |
| Marcar como completado | Available on steps performed outside the platform or that are not detected automatically (for example, Whitelist). It lets you manually confirm that the configuration was done. |
| Ver | Opens the configuration screen in read-only mode. If you wish, you can make changes and save them. |
| Ir a corregir | When a configuration is in alert, this button takes you to the configuration to review it. |
Verificar configuraciones
In the upper-right corner of the Onboarding you will find the Verificar configuraciones button. When you press it, the configurations are reviewed and the connections of the configured integrations are tested (for example: mail server, user import, sending method).
- If the test is successful, the message "All configurations were verified successfully." is shown.
- Otherwise, a detail is listed so you can make the necessary adjustments.
The Onboarding will show the date of the last verification.
SMARTFENSE performs a daily verification of the configured integrations. If it detects an error, it will send a detail by email to the administrators of the instance.
Onboarding sections
The Onboarding is organized into 11 sections; each one, and the configurations available within it, will depend on the contracted licensing.
- Configuraciones iniciales — Defines the visual identity and base data of the platform: title, organization data, logo and corporate colors.
- Notificaciones — Configures the notifications users will receive: welcome, content assignment, automatic reminders and summary of pending campaigns.
- Whitelist — Confirms that the customer has configured the whitelists in their mail server, firewall and security tools to guarantee the correct reception of simulations and navigation through SMARTFENSE domains.
- Medio de envío — Defines how phishing or ransomware simulations are delivered: through the standard sending method or through direct injection (DMI) integrated with Microsoft or Google.
- Gestión de usuarios — Configures the user import and synchronization method (CSV, Microsoft Entra ID, Google, API, LDAP, SCIM), the authentication type (own credentials or SSO), 2FA for administrators, session duration, the password policy and the preferred language.
- Servidor de correo propio — Configures an own mail server to send notifications and content from the organization's domain.
- botón de reporte de phishing — Configures the button that lets users report suspicious emails (SMARTFENSE's own button for Outlook, Google and Thunderbird, or the integration with Microsoft Outlook). It includes the validation of corporate domains as a prerequisite to deploying the button.
- Vista del usuario final — Defines which content is shown to end users and how it is presented: interactive modules, videos, video games and newsletters.
- Gamificación — Configures the gamification components: activation of points and badges, badge configuration, reward criteria for already completed content, ranking visibility, interactions that grant points and badge notifications.
- Integraciones — Configures the integration with communication channels such as Slack or Microsoft Teams to send notifications.
- Crear primera campaña — Creates and launches the first awareness campaign. It is completed automatically when at least one campaign exists.
💡 Best practices
- Complete the sections in order: Configuraciones iniciales and Gestión de usuarios lay the foundation for the rest.
- Before launching phishing simulations, complete the Whitelist (section 3) and the Medio de envío (section 4).
- Use the Verificar configuraciones button once the integrations are finished, to confirm that all connections work before the first launch.
- If a section is in alert (red), use the Ir a corregir button and review the configurations made.
- Remember that any Onboarding configuration can be modified later from the Configuración menu, without needing to return to this section.
