This article describes the specific configurations of the Exams component available in SMARTFENSE: Final message, Exam Assignment, and Certificates.
To access these configurations, go to the Settings > Awareness > Exams menu and select the option you wish to configure.
Final message
The final message of exams is shown to end users when they finish a campaign of this type. There are two types of final messages, one for passing and one for failing, each shown to the user according to their performance in the exam in question.
Message of having passed
Defines the message the user receives when they pass the exam.
- Use SMARTFENSE's final message: the platform's predefined message is used.
- Use custom final message: allows you to upload a custom message for each supported language. Editing each flag opens the Final message setup: message of having passed dialog with the Language and Message fields.
Within the Message field you can insert variables via the Variables button:
- Percentage of correct answers
- Percentage of incorrect answers
- Percentage required to pass
Message of having failed
Defines the message the user receives when they fail the exam.
- Use SMARTFENSE's final message: the platform's predefined message is used.
- Use custom final message: allows you to upload a custom message for each supported language. Editing each flag opens the Final message setup: message of having failed dialog with the Language and Message fields.
Within the Message field you can insert variables via the Variables button:
- Percentage of correct answers
- Percentage of incorrect answers
- Percentage required to pass
- Available attempts: tells the user how many attempts they have left to retake the exam.
The Available attempts variable is available only in the message of having failed.
Exam Assignment
Defines whether a user can be reassigned to an Exam they have previously passed.
The platform will not reassign an Exam to a user if they already have the same Exam assigned in another campaign in progress. This behavior is not configurable.
Available options
- Assign to all target users but notify only those who have not previously passed the Exam in question: exam campaigns will assign all target users, but only notify those who have not passed the Exam. Within the campaign statistics, the Sent, Started, and Passed records for users who had already passed the Exam will use the campaign's sending date as their value. Only users who have not previously passed the Exam will see it in their Assigned Exams section.
- Assign to all target users: exam campaigns will assign to all target users, including those who have previously passed the Exam. All users will see the Exam in their Assigned Exams section.
- Assign only to target users who have not previously passed the Exam in question: exam campaigns will assign only to users who have not previously passed the Exam.
Certificates
Certificates are awards that are automatically sent to users when they pass an Exam.
Sending certificates
- Send certificates: enables the automatic sending of certificates upon passing an Exam.
- Do not send certificates: disables certificate sending.
Certificate Design
When the Send certificates option is enabled, you can define the design:
- Use SMARTFENSE's certificate: the default template provided by the platform is used.
- Use customized certificate: allows you to upload a custom certificate for each supported language. Each flag represents an available language for customization.
The Send me test button allows you to receive a test version of the configured certificate in your own email inbox, to validate the result before applying it.
For more details on certificate customization, see the Activation of certificates on the platform article.
💡 Best practices
- Remember to press the Save button at the bottom of each configuration window before exiting. If you change screens without saving, the selected changes will be lost.
- Customize the passing and failing messages with the organization's tone and voice to reinforce the connection with the user at a key moment in the training experience.
- In the failing message, use the Available attempts variable to inform the user how many attempts they have left and guide them toward retaking the exam.
- Combine the Percentage of correct answers and Percentage required to pass variables to contextualize the result within the message, especially in case of failure.
- Use the Assign to all target users but notify only those who have not previously passed option when you need to record full campaign coverage without causing fatigue in users who have already passed the exam.
- Customize the certificates with the organization's visual identity to increase the perceived value of the recognition given to the user.
- Use the Send me test button before activating a customized certificate in production, to validate the design and data of the final file.
