This article describes the specific configurations of the Newsletters component available in SMARTFENSE: End user view, Feedback, and Final question.
To access these configurations, go to the Settings > Awareness > Newsletters menu and select the option you wish to configure.
End user view
This section allows you to configure which Newsletters can be viewed by the end user when accessing the platform.
Available options
- All active Newsletters: the end user can view any of the Newsletters that are active on the platform, including those that are not part of any campaign in progress. This gives the user freedom to view Newsletters on their own initiative, proactively.
- Only active customized Newsletters: the end user can view any of the customized Newsletters that are active on the platform, including those that are not part of any campaign in progress. This gives the user freedom to view Newsletters on their own initiative, proactively.
- Only the Newsletters assigned: the end user can only view the Newsletters assigned to them in a campaign in progress (i.e., a campaign that has already started and has not expired yet).
Feedback
Newsletters have reading validation questions. When responding, users are presented with a different view depending on whether their response is correct or incorrect.
This view has three elements: exclamation, message, and feedback.
- The exclamation and the message are fixed and equal for all Newsletters and are customized in this section.
- The feedback: The question and answers (correct and incorrect) of each Newsletter can be customized from Custom content > Newsletter.
Correct answer
Defines the exclamation and message that are shown when the user answers the validation question correctly.
- Use SMARTFENSE exclamation and message: the platform's predefined texts are used.
- Use exclamation and customized message: allows you to upload a custom exclamation and message for each supported language. Editing each flag opens the Correct answers setup dialog with the Language, Exclamation, and Message fields.
Incorrect answer
Defines the exclamation and message that are shown when the user answers the validation question incorrectly.
- Use SMARTFENSE exclamation and message: the platform's predefined texts are used.
- Use exclamation and customized message: allows you to upload a custom exclamation and message for each supported language. Editing each flag opens the configuration dialog with the Language, Exclamation, and Message fields.
Final question
Allows you to configure the visual frame of the reading validation question common to all Newsletters: its title and its colors.
Final question title
The validation question for each Newsletter is preceded by a title that is the same for all Newsletters.
- Use SMARTFENSE's predefined title: the default title provided by the platform is used.
- Use customized title: allows you to upload a custom title for each supported language. Editing each flag opens the Final question title settings dialog with the Language and Final question title fields.
Final question colors
The answers to the validation question are displayed with certain font and background colors. These colors are the same for all Newsletters.
- Use SMARTFENSE predefined colors: the default colors provided by the platform are used.
- Use customized colors: allows you to define your own colors via:
- Font color: color of the answer text.
- Background color: color of the answer background.
💡 Best practices
- Remember to press the Save button at the bottom of each configuration window before exiting. If you change screens without saving, the selected changes will be lost.
- Define the End user view based on your awareness strategy: if you want to encourage voluntary access to content, use All active Newsletters or Only active customized Newsletters; if you prefer to limit users to the Newsletters of the current campaign, use Only the Newsletters assigned.
- Customize the exclamation and message of the correct and incorrect answers with the organization's tone and voice to reinforce brand identity within the training content.
- Keep the feedback of each Newsletter customized individually to deliver a specific explanation of the topic to the user, complementing the generic exclamation and message.
- When customizing the title and colors of the final question, maintain visual coherence with the rest of internal communications to reinforce the user's familiarity with the content.
- Upload the customizations in all the languages in which your organization delivers content, to ensure a consistent experience across the entire user base.
