This article describes license definitions, permitted limits, considerations for multi-client instances, and how to check your licensing status directly from the platform.

License definitions
- Contracted licenses: total number of licenses purchased for the instance.
- Active users: enabled users in the instance. The number of active users cannot exceed the number of contracted licenses.
- Inactive users: disabled or inactive users. They do not consume licenses.
Permitted limits
SMARTFENSE does not allow user rotation beyond the reasonable limits associated with natural employee turnover in an organization, nor overuse by creating users above the contracted license count.
If an instance is detected by internal controls and excessive license usage is confirmed, we will contact the partner or client to regularize the situation or expand the purchased licenses.
Multi-client instances
Only multi-client instances allow monthly license rotation.
How to check license information from the platform
How to access
- Click your username in the upper-right corner of the platform.
- In the panel that opens, select License Information.
License summary
At the top of the page, four cards display the main contract data:
- Contracted licenses: total number of licenses purchased.
- Active users: number of active users in the instance at the time of the query.
- Inactive users: number of inactive users.
- Expiration date: license expiration date.
License usage
The License usage chart shows a visual comparison between the number of contracted licenses, active users, and inactive users, making it easy to verify at a glance whether current usage is within the contracted quota.
Active users per month
The Active users per month chart shows the monthly trend of active users in the instance. Bars that exceed the contracted quota are shown in red, allowing you to identify months with platform overuse.
Users reached by at least one campaign
This section shows the number of unique users reached by at least one campaign in the selected period, both month by month and as a cumulative total.
Important considerations:
- A user reached by multiple campaigns in the same period is counted only once.
- Test campaigns are not included.
- Bars that exceed the contracted quota are shown in red.
- Data is updated once per day.
How to use the filter:
- Select the Start month and End month of the period to query.
- Click Apply.
Click on a bar in the chart to see the details of users reached in that month.
Breakdown by component
Below the chart, the Breakdown by component table shows the number of users reached month by month, broken down by content type: Interactive Modules, Videos, Video Games, Newsletters, Phishing Tool, Smishing Tool, Ransomware Tool, Exams, and Surveys. The Across all components row shows the total unique users reached each month, regardless of campaign type.
Contracted modules
The Contracted modules panel lists the content types included in the current license. The number shown in the panel header corresponds to the total number of contracted modules.
Assigned catalogs
The Assigned catalogs panel displays the content catalogs enabled for the instance. The number in the header indicates the total number of assigned catalogs.
💡 Best Practices
- Check the License Information page regularly to verify that active user consumption remains within the contracted quota and to anticipate renewals or expansions.
- Track user additions and removals to keep rotation within permitted thresholds.
- Use the Users reached by at least one campaign filter to assess the real reach of the awareness program over a given period.
- If you notice red bars in the charts, review the number of active users and coordinate with the responsible partner to address the overuse.
- Verify that the assigned catalogs match those agreed upon in the current contract.
