This article describes the view and features of the SMARTFENSE administrative environment: side menu, roles and permissions, dashboard, online help, Help Center, and downloadable guides.
General description
When you log in with an administrative profile, you will see the SMARTFENSE side menu with the options available according to your plan and the permissions assigned in the instance.
Side menu
To hide or show the menu, click the arrow icon next to the SMARTFENSE name.
The visible options depend on the contracted plan and your user's permissions.
Keep the menu visible during the initial setup to speed up navigation.
Roles and permissions
Your available actions are determined by the administrative role assigned to you. These are the available roles:
- Administrator: permissions for all actions on the platform.
- Campaign administrator: creation, editing, and deletion of campaigns for enabled catalogs.
- Content administrator: creation and editing of content for enabled catalogs.
- Implementer: user and group management, plus platform configurations. Independent of catalogs.
- Auditor: read access to the different sections according to enabled catalogs, without the ability to make changes.
- Awareness plan administrator: management of content and campaigns for enabled catalogs. Combines the Content administrator and Campaign administrator roles in one.
- User and group administrator: user and group management. Independent of catalogs.
- Configuration administrator: platform configurations. Independent of catalogs.
Adjust profiles before delegating tasks to another administrator.
General Dashboard
The General Dashboard is the executive summary of your organization: a snapshot of the awareness status in a few seconds and the access points to dive deeper. It brings together the key indicators, risk evolution, who to attend to first, and the implementation status.
Scope: all indicators correspond to your organization (without sub-organizations) and are calculated based on active users. Unless otherwise stated, they reflect the current status; evolution comparisons use the previous month as a reference.
Key indicators
Five metrics summarize the status of the program:
- Organization risk: current risk score (from 0 to 100, higher is worse).
- Assigned users: percentage of active users with at least one campaign assigned.
- Completion rate: percentage of the assigned training that has already been completed.
- Reporting rate: percentage of simulations received that users reported as suspicious.
- Proactivity rate: percentage of active users who consumed content on their own initiative.
Each indicator is colored according to its status: green (Good), amber (Attention) or red (Priority). If there is no data yet, it is shown in gray.
Dashboard sections
The dashboard groups information about the implementation status, actions that require attention, risk evolution over time, users and areas with the highest risk, the status of ongoing and upcoming campaigns, training deadlines, and users highlighted for their good behavior. The visible sections depend on the functionalities contracted by your organization. Each card and chart has its own contextual help with details about what it measures.
Online help (tooltips)
The platform offers contextual help in various fields and sections. Hover over these icons to open a pop-up with useful information:
- (i): Information.
- (?): Contextual help for the field to be completed.
Help Center
You can consult the Help Center with knowledge base articles to guide configuration and daily operations.
Downloadable guides
For configurations that require more detail, you will find PDF guides available to download and share with your technicians or partner.
💡 Best practices
- Define administrative roles from the start and review permissions periodically.
- Check Recommended actions at the start of each session to address the highest-priority items first.
- Use the Implementation status section to track progress and detect pending configurations.
- Use tooltips to fill in fields accurately.
- Keep PDF configuration guides on hand to standardize procedures across administrators.
