Below we discuss some issues to consider when automating a campaign using Smart Groups, the Recurrent Assignment campaign mode, and relative duration together with the auto-enrollment functionality.
Auto-enrollment takes into account the component assignment settings from the Settings > Awareness > Interactive Modules > Interactive Module Assignment section. Remember that this must be configured separately for Videos and Exams as well.
- Reminders in auto-enrollment are sent in the same way as they were set in the first assignment. If 2 reminders were set, one halfway through the campaign and another one day before, in the new assignments the reminders will be sent in the same way.
- When auto-enrollment is selected, if you choose not to send the notification email, it will not be sent either in the first assignment or any time the user is auto-enrolled.
- In Exams with auto-enrollment, if more than one attempt is available, each auto-enrollment will have the same number of available attempts as in the first assignment.
In the statistics, the send date shown in the campaign detail and history is the latest one, but by clicking the "View campaign history" button, you can see all the sends that have been made again.
- Smart Groups are updated automatically every 24 hours. However, you can go in to edit the group and click the save button to update it immediately
- Users who are automatically removed from a Smart Group (because they no longer meet the criteria to remain in it) will still belong to the campaign and the content will be reassigned to them if they did not complete it, because users continue to belong to the campaign and will continue to be assigned the content. In the campaign statistics, they will still appear, because the user is not removed from the campaign, only new users are added.
Can reassignment of a user in a campaign with auto-enrollment take some time?
When a user is assigned to a campaign with recurrent assignment and relative duration with auto-enrollment and does not complete the content within the established period, at the end of the period, there will be a brief interval during which the user will not be assigned to that campaign until they are reassigned.
For example, if an assignment ended today at 10:00 a.m., the reassignment process will take place at night, which means that during the day, after 10:00 a.m., the user will not be assigned to the campaign and will not be able to take it.
Can the user be assigned during that short period of time?
During that interval, the user can be assigned the same content but in another campaign. That is, if this new campaign is still active when the recurrent campaign with auto-enrollment tries to reassign the user, the reassignment to the recurrent campaign will not take place.
However, if the new campaign has already ended, the user will be reassigned to the recurrent campaign. Therefore, it is recommended to run the new campaign with a duration within that same day. Because if the user does not complete it, the next day they will be reassigned within the other recurrent campaign.
